How to Notify Unselected Communities


After a client is placed at a community, you may want to notify the communities that were sent a referral but where the client was not placed. You are able to do this two ways: automatically through a workflow or manually for each client. Here's how:

How to Send an Email to All Unselected Communities Manually

1) Send the Client Referral and Choose Their Community

Before you can utilize the Notify Communities feature, a referral must have been sent to the client's community options, and a chosen community must be selected.

If a chosen community has been selected but no referrals have been sent out, when you navigate to the Actions > Notify Communities option, the email builder will pop up, but no community emails will be included.


2) Navigate to Actions > Notify Communities


3) Edit and Send Your Email

  1. Edit your recipients.
  2. Choose an email Subject.
  3. Insert an email template, signature template, or placeholders (optional)
  4. Edit the email body.
  5. Choose whether or not to BCC yourself.
  6. Attach a file. (optional)
  7. Send your email.

How To Set Up the Unselected Communities Workflow

Note: This feature is only available for Senior Place Premium subscriptions and Administrator users.

1) Navigate to the Workflows Tab in Agency Settings

  1. Click the Profile Menu
  2. Navigate to Agency Settings
  3. Go to Workflows
  4. Select Create Workflow

2) Create Your Workflow

  1. Select the Notify unselected communities workflow
  2. Edit your workflow name and description
  3. Click Create workflow

3) Configure Your Workflow

  1. Set the Client status filter. These status(es) are the only ones that will allow the Workflow to run
    1. For this Workflow to trigger, the following things need to happen:
      1. The client needs to be in one of the defined status(es)
      2. A referral must have been sent to the community
      3. A chosen community must be selected
  2. Build the email Subject and Body
  3. Attach file(s) (optional)
  4. Choose whether or not the sender will be BCC'd on the emails
  5. Choose who the Email Sender will be:
    1. Client's assigned user - The workflow will automatically send from whoever the client is Assigned to. Please note that you'll need to set the Email sender fallback for any Unassigned clients.
    2. Specific user - If you want the email to always be sent from the same user, choose this option and determine who that user will be.
  6. Choose the Workflow delay
  7. Click Publish workflow
