Workflows FAQ

Workflows are power automations that can save your team countless hours and help ensure that none of your clients, communities, or referral sources are forgotten.

While our Workflow-specific tutorials walk through the steps to create each type of Workflow, there are a variety of common questions that come up when creating them. The FAQ below covers those questions:

Who do Workflow emails get sent from?

  • Client is Assigned - Workflow emails related to Clients that are Assigned will be sent from their Assigned user.
  • Client is Unassigned - Workflow emails related to Clients that are Unassigned will be sent from the Workflow Creator.

Do email signatures get added to Workflow emails?

Yes! When a Workflow email is sent, the sender's Default Signature will be added to the configured email body.

Because of this, we recommend having your users set up their Default Signature by following this tutorial. Additionally, when configuring an email-type Workflow, we'd recommend not including a signature at the end of the email body.

How do I cancel a trigged Workflow?

As long as a Workflow has triggered but not yet run (due to the configured delay), you can cancel it. Follow the steps below to cancel a triggered Workflow:

  1. Navigate to the Client where the Workflow was triggered
  2. Scroll down to the Workflow automation section
  3. Find the triggered Workflow that has not yet run (indicated by a yellow clock 🕰️)
  4. Click the Trashcan icon 🗑️ and confirm the cancellation

What happens if I make a change that would impact a Triggered Workflow?

Note: Updates will only occur when Workflows are scheduled but not yet complete.

While each Workflow has its own unique set of triggers, the same general rules apply when you make changes that would impact a triggered (but not yet completed) Workflow.

In the example below, the Referral Workflow is set to trigger when a Referral Source is chosen; however, as updates are made, so are the scheduled workflows:

  1. The initial Workflow is scheduled after the Referral Source is chosen.
  2. When a different Referral Source is chosen, the initial Workflow is canceled and a new email is scheduled.
  3. Finally, when the Referral Source is removed (via the trashcan icon 🗑️), the newly scheduled email is also canceled.

What happens to triggered workflows when I update workflow settings?
